Invoicing for locums

Locum invoices that send themselves.

When a shift ends, its invoice is ready, with the hours, rate, mileage and expenses on it. It goes to the pharmacy overnight, and you always know who owes you, how much, and for how long.

Created for you

From finished shift to sent invoice.

No template to copy, no numbers to add up. Everything on the invoice comes from the shift you already booked.

  • Drafted when the shift ends. Hours, rate, unpaid breaks, mileage and expenses, numbered and dated, with your registration on it.
  • Sent while you sleep. Emailed to the pharmacy at midnight after the shift as a PDF, held for your OK first, or left for you to send yourself.
  • Replies come to you. You're copied in, and pharmacies reply to your own address, so questions about an invoice never get lost. The address is remembered for next time.
  • Knows the chains. Shifts at multiples that pay through their own system are recognised, so you never invoice twice.

Tracking

Always know who owes you.

Every invoice sits on a board, from drafted to sent to paid. Drag it across as the money arrives, and overdue ones stand out.

  • Overdue invoices flagged. See how long each has waited, and read what to do when a pharmacy pays late.
  • One number on your dashboard. What's still to invoice and what's awaiting payment, always up to date.
  • Who pays quickly. How long each pharmacy took to pay, so you know who to say yes to.
  • Find any invoice. Search by pharmacy, date or amount from one search box.

However you're paid

Invoices for every way locums are paid.

Hourly or day rates

Hours times your rate, less unpaid breaks, or a flat day rate, with mileage and expenses on top.

Mileage at your agreed rate

Worked out from the actual route and added at the rate the pharmacy agreed to. See the mileage tracker.

Expenses on the shift

Parking, train fares or a hotel for a far-flung cover, each on its own line.

Chains that self-bill

Shifts at multiples that pay through their own system are left off, but still count towards your earnings.

Pharmacy technicians

Invoices with your technician registration, at your own rates. For technicians.

Questions, answered.

What goes on a locum invoice?

Your name and address, your GPhC or PSNI registration, the pharmacy's name, an invoice number and date, and a line for each shift with its hours, rate, mileage and expenses, plus your payment details. Locumoid fills all of that in from the shift. A limited company's invoices also carry its registered details.

Can I check an invoice before it goes?

Yes. Choose whether invoices are emailed automatically at midnight after the shift, wait for your OK on the Invoicing screen, or aren't sent at all, so you can download the PDFs and send them yourself.

Who do replies go to?

To you. Invoices are emailed on your behalf with you in copy and your own address to reply to, so a pharmacy's questions come straight to your inbox.

What about chains that pay me through their own system?

Shifts at multiples that pay locums through their own portal are recognised, so no invoice is drafted for them, and the money still counts towards your earnings.

Can I add parking, train fares or a hotel?

Yes. Add them as expenses on the shift, and they go on its invoice and into your tax figures. Mileage is added by itself, at the rate you agreed with the pharmacy.

What if a pharmacy pays late?

Overdue invoices are flagged on your board and your dashboard, so you know who to chase. Our guide to late payment explains your rights, including statutory interest, and how to ask without souring the relationship.

Get paid, without the awkward chasing.
